PRS Block Manager  

A fantastic opportunity for an experienced PRS block property manager to join a leading Private Rented Sector (PRS) Team.

This is a newly created role, and you will be responsible for building out and leading a best-in-class block management team. My client is based in a new Grade A office in the heart of Dublin 4. They currently manage an extensive portfolio of 3,500 units across Dublin with growth planned for other jurisdictions.

The role will lead a Block Management Team within the PRS Lettings & Management Team, managing all Common Areas related services in a diverse portfolio of developments in south Dublin owned by large Commercial Landlords and Investment Funds.

This is a great opportunity for an experienced Block Manager to help shape and deliver a new team while reporting directly to the Senior Leadership team with great career progression and benefits on offer while leading a key business unit. You will be supported by the Finance and Admin teams.

The Portfolio

  • The portfolio is made up of high-end new builds which include extensive Amenity Spaces, gyms, games rooms, tenant lounges roof terraces, bookable spaces and site staff.

  • This has brought a hospitality element to the management of PRS sites that make these locations a destination of choice with waiting lists.

  • All of the schemes are owned by large institutional landlords and as such the investor controls the board – there are no individual residents.

  • They are prime location assets with an attractive middle to upper class resident base– these are just nice schemes to manage!

The Candidate

  • You must be excited about seizing the challenge to develop this business unit and set up the correct processes and procedures to manage all of these schemes – this is a great opportunity to make it your own and shape how it should be done!

  • The candidate must be able to manage a fast-paced environment whilst maintaining high standards of professionalism, financial control, and compliance with health & safety legislation.

  • Establishing and maintaining productive and pleasant working relationships with a wide range of parties to liaise and collaborating with other the Property Managers & Colleagues on the wider Teams, Clients, Contractors & Residents.

  • The role is best suited to those who can work to their own initiative as well as part of a team - collaborating with the agents on the tenancy side to ensure the sites are serviced to standard with a solution focussed, can do, positive approach.

  • Professional candidate with 2-5 years’ experience

  • PSRA registered

General Responsibilities

  • Budget understanding, financial management, planned preventative & reactive maintenance of soft and hard services is required to mechanical & electrical plant equipment and building fabric as well as improvement projects.

  • The role also includes but is not limited to administration, tendering services, contract negotiation, security, H&S, energy management, ESG initiatives & landscape management. You will support and be provided with support from the PRS Common Area Management Team

  • Direct management of a portfolio of residential Multi-Unit Developments, to include OMC services SLA’s, site standards and client reporting.

  • Management of all onsite staff and engaged 3rd party service providers.

  • Development of client asset registers and sinking fund tracking.

  • The portfolio’s OMC co secretarial and corporate calendar (AGM’s etc).

  • Driving programme for CRM and OMC communication including online circulations, property and finance portals and Contact Centre coordination.

  • Best practices, policies and procedures, all statutory requirements and professional regulations including controls and continuous improvement.

  • The Service charge budget programme – including annual preparation review and approval, performance control and variance management, as well as cash management including service charge receivables, supplier payables, payroll and the annual Audit programme (in conjunction with Finance Department).

  • All suppliers & 3rd party contractor management

  • Portfolio Insurance renewal and claims management

  • Site standards Inspection programme including H&S compliance

  • PPM programmes including fire, health and safety

  • Reactive Repairs – ensuring effective, efficient performance delivery

  • Sinking Fund capital projects and improvements

  • KPI performance and reporting

  • CRM – Client Relationship Program / Client Satisfaction Survey, client events and CSR “Sustainable Buildings Better Living”.

  • Client / Contract retentions, renewals and agreements in compliance with PSRA
